1. Important Information for Specific Users
1.1 A Note About Children
The Service is not intended for individuals under the age of 18 (or the age of majority in your jurisdiction, whichever is greater).

If we learn that we have collected personal information from a child without verification of parental consent, we will delete that information as quickly as possible.

If you are an End User (a customer of a business that uses EazyAgent AI):
- The business you are interacting with (the "Account Owner") is the data controller for your personal information. They determine what information is collected and how it is used.
- We process your information on behalf of that Account Owner as their service provider (data processor).
- To exercise your privacy rights regarding information collected about you, please contact the Account Owner directly. They are responsible for responding to your requests.
- For questions about how the Account Owner uses your information, please review their privacy policy.
- We process End User information only as instructed by our Account Owners and in accordance with our agreements with them.
1.3 A Note to Users Outside the United States and Canada
If you are located outside the United States or Canada:
- By using the Service, you acknowledge and agree that your personal information may be transferred to, processed, and stored in the United States and Canada, where our servers and service providers are located.
- Data protection laws in the United States and Canada may differ from those in your country and may not provide the same level of protection.
- By providing your personal information and using the Service, you consent to this transfer, processing, and storage.
- If you do not agree to this transfer, you should not use the Service.
1.4 Account Owner Responsibilities
If you are an Account Owner, you represent and warrant that:
- You have obtained all necessary consents and authorizations from your End Users to collect, use, and share their personal information through the Service
- You have provided End Users with appropriate privacy notices explaining how their information will be used
- You comply with all applicable privacy and data protection laws in your jurisdiction
- You have a lawful basis for processing End User information
- You maintain your own privacy policy that accurately describes your data practices
You are responsible for:
- Your use of End User information obtained through the Service
- Responding to End User privacy rights requests
- Ensuring your employees and Authorized Users comply with applicable privacy laws
- Informing End Users about call recording, AI processing, and data collection
We are not responsible for your privacy practices or your compliance with applicable laws.

- Payment information and transaction records

4.9 Onboarding, Setup Calls, and SMS Communications
Onboarding and Setup Calls. When you register for a trial or subscription, you consent to receive an automated AI-generated phone call from EazyAgent AI at the phone number you provide. This call is used to configure your AI receptionist through a voice-guided setup conversation. The call is recorded and transcribed for quality and service delivery purposes.
SMS Communications and Opt-Out. By providing your phone number and consenting at signup, you agree to receive SMS messages from EazyAgent AI related to your account, trial status, setup reminders, billing, and service updates. Message frequency varies based on your activity. Standard message and data rates from your wireless carrier may apply. You may opt out of non-transactional SMS at any time by replying STOP to any message. Reply HELP for assistance. Opt-outs are processed immediately. Certain transactional messages (billing, security, and service-critical alerts) may continue after opt-out where permitted by law.
Consent Records. When you consent to calls and SMS at signup, we store a record of your consent including the timestamp, IP address, phone number, and the exact consent text you agreed to. These records are retained for a minimum of five years to comply with TCPA and CASL requirements and to establish proof of consent.
4.10 SMS Communications and Mobile Information
EazyAgent AI does not sell, rent, or share mobile phone numbers, SMS opt-in data, or text messaging consent information with any third parties or affiliates for marketing or promotional purposes. This information is collected solely to provide SMS communications related to your account and, where you have opted in, marketing communications from EazyAgent AI itself.
Categories of information shared with third parties as described elsewhere in this Privacy Policy expressly exclude text messaging originator opt-in data and consent. Mobile opt-in data and SMS consent information will not be shared with any third parties under any circumstances.
Message frequency varies based on your account activity and the campaigns you opt into. Standard message and data rates from your wireless carrier may apply. You may opt out of marketing SMS at any time by replying STOP to any message; reply HELP for support. Transactional and service-critical messages (billing, security alerts, account notifications) may continue after opt-out where permitted by law.

7.1 How AI Agents Work
Our AI agents:
- Answer inbound phone calls in real-time
- Understand spoken language and respond naturally
- Extract information from conversations
- Generate transcripts and summaries
- Populate CRM data automatically
- Provide recommendations and insights
To do this, AI agents must process:
- Audio recordings of calls
- Voice data and speech patterns
- Conversation content and context
- Business rules and configurations you provide
For the purposes of the US Telephone Consumer Protection Act (TCPA) and similar laws in other jurisdictions, AI-powered calls made through the Service are considered automated or autodialed calls using an artificial or prerecorded voice. By consenting at signup or through other clickwrap agreements, users provide prior express written consent to receive such calls.
7.2 Voice Data Processing
When a call occurs:
- Audio is captured and streamed to our AI voice provider (ElevenLabs)
- Speech is converted to text in real-time (transcription)
- Text is analyzed by our AI language model (OpenAI) to understand intent
- AI generates appropriate responses based on your business configuration
- Responses are converted back to speech and played to the caller
- Full call recording, transcript, and summary are stored in your CRM
Voice biometric data (unique voice characteristics) may be temporarily processed during calls but is NOT stored or used to identify individuals.
7.3 Call Recording and Transcription
All calls handled by AI agents are recorded and transcribed by default.
Account Owners are responsible for:
- Complying with call recording laws in their jurisdiction
- Obtaining consent from callers where required by law
- Providing appropriate notice (e.g., "This call may be recorded")
- Configuring recording settings appropriately
Call recordings and transcripts are:
- Stored securely in encrypted format
- Accessible only to the Account Owner and Authorized Users
- Retained according to the Account Owner's data retention settings
- May be used to improve AI accuracy (in anonymized form)
7.4 AI Training and Improvement
We may use conversation data to improve AI performance:
- Conversation patterns are analyzed to improve understanding
- Common questions and responses are used to train models
- Errors and misunderstandings are identified and corrected
- Voice quality and clarity are optimized
All data used for training is:
- Aggregated and anonymized
- Stripped of personally identifiable information
- Not attributable to any specific person or business
You may opt out of having your data used for AI training by contacting privacy@eazyagent.ai. Note that opting out may impact AI performance for your specific account.
7.5 AI Limitations and Accuracy
You acknowledge that AI systems:

- May produce inaccurate transcripts or summaries
- Are not perfect and cannot replace human judgment
- May behave unpredictably in certain situations
You are responsible for:
- Reviewing AI-generated content for accuracy
- Verifying important information before relying on it
- Correcting errors in transcripts or CRM data
- Not relying solely on AI for critical business decisions

9. International Data Transfers
9.1 Where We Operate
EazyAgent AI is operated by Slovak Ventures LLC, a Wyoming limited liability company. The Service is provided primarily to users in the United States and Canada. Our servers and core service providers are located primarily in the United States.
9.2 Transfer of Information
If you are located outside the United States or Canada, your information will be transferred to, processed, and stored in the United States.
By using the Service, you consent to the transfer of your information to the United States and other countries where we or our service providers operate.
9.3 Data Protection Standards
We implement appropriate safeguards to protect your information during international transfers, including:

11. Data Retention
11.1 How Long We Retain Information
We retain your personal information for as long as necessary to:
- Provide the Service to you
- Fulfill the purposes described in this Privacy Policy
- Comply with legal and regulatory obligations
- Resolve disputes and enforce our agreements
- Prevent fraud and protect our rights
11.2 Retention Periods
Account Information:
- Retained while your account is active
- Retained for 30 days after account cancellation (to allow reactivation)
- Permanently deleted after 30 days (subject to exceptions below)
Call Recordings and Transcripts:
- Retained for the duration you specify in your account settings (default: indefinitely)
- You may delete call recordings at any time through your dashboard
- Deleted recordings are removed from production systems within 72 hours
- May persist in backup systems for up to 90 days
CRM Data (Contacts, Jobs, Pipelines):
- Retained while your account is active
- Retained for 30 days after account cancellation (for data export)
- Permanently deleted after 30 days
Payment and Transaction Records:
- Retained for 7 years to comply with financial regulations and tax laws
- Required for accounting, audit, and tax purposes
Aggregated and Anonymized Data:
- Retained indefinitely for analytics, research, and Service improvement
- Cannot be linked back to you or any individual
11.3 Legal and Compliance Retention
We may retain information longer than the periods above when:

For End User information processed on behalf of Account Owners:
- Retention periods are determined by the Account Owner
- We retain End User information as instructed by the Account Owner
- When an Account Owner's account is deleted, associated End User information is also deleted (subject to legal retention requirements)
11.5 Deletion Procedures
When information is deleted:
- Removed from production systems within 72 hours
- Removed from backup systems within 90 days
- Permanently destroyed and cannot be recovered
Deleted information may persist in residual copies in backup systems for up to 90 days but is not accessible and will be permanently destroyed.
11.6 Your Right to Request Deletion
You may request deletion of your personal information at any time by:
- Canceling your account through account settings
- Emailing privacy@eazyagent.ai

12. Your Privacy Rights
Depending on your location, you have certain rights regarding your personal information.
12.1 Rights Available to All Users
Right to Access: You can request a copy of the personal information we hold about you. We will provide information in a commonly used electronic format.
Right to Correction: You can request that we correct inaccurate or incomplete information. You can update most information directly through your account settings.
Right to Deletion: You can request that we delete your personal information. Subject to exceptions (legal obligations, fraud prevention, dispute resolution). Certain information cannot be deleted while your account is active.
Right to Opt-Out of Marketing: You can opt out of marketing emails by clicking "unsubscribe" in any marketing email. You can opt out of targeted advertising (see Section 8.4). You cannot opt out of transactional emails (account notifications, receipts, security alerts).
Right to Data Portability: You can export your data in common formats (CSV, JSON, PDF). Available through your account dashboard. Includes contacts, jobs, call transcripts, and CRM data.
12.2 How to Exercise Your Rights
To exercise any of the above rights:
